Job Description
Our client, a “NYS agency focused providing advocates to help victims and their families”, is looking for an Administrative Assistant. They are seeking a candidate who is task oriented, has great attention to detail, and can multitask.  The position calls for staff to be able to work independently as well as part of a team, communicating effectively with others. The ideal candidate will be able to handle time-sensitive tasks, projects and urgent requests. 


Job duties require providing high-level administrative support by conducting research, preparing statistical reports and handling information requests in addition to performing clerical functions such as receiving visitors, arranging conference calls and scheduling meetings. 


Candidate must be able to manage an active calendar of appointments, complete expense reports, compose and prepare correspondence regarding sensitive and often confidential matters as well as coordinate technology needs for Executive staff. 


Knowledge of office administration and management, business communications, and an ability to take notes is necessary, as position calls for being able to compose, type, and distribute meeting notes, correspondence and reports. 


Candidate may act as Justice Center Management’s personal representative in dealing with the public and in routine contact with other State executives; and will perform special assignments, studies, and routine administrative functions as specifically directed.


 Additional office duties may be assigned, including assisting in the execution of special projects/initiatives, depending on emergent agency business needs.


Job duties shall also include assisting Justice Center staff with maintaining our fleet by driving cars to get oil changes, tire rotations, etc. Candidate must therefore possess and maintain a valid NYS driver’s license for the full term of employment. 


Please note, fleet activities are carried out in staffing pairs, and is expected to be necessary but only a secondary and minimal part of candidate’s duties.

Seeking an individual with a working knowledge of computer programs/systems including: Microsoft Office (Word, Excel, Teams, SharePoint), Adobe Pro, and Email (Outlook). The position also requires the ability to quickly learn and utilize the Justice Center database program.
