Executive Secretaries and Administrative Assistants
Ability to handle multiple tasks simultaneously; understand and carry out complex oral and written directions; uses various information technology applications such as email, database, and word processing, with demonstrated intermediate Excel, Word knowledge and abilities. Operates office equipment such as printers, scanners, and copiers, and arranges for repairs when equipment malfunctions. Demonstrates the ability to establish and maintain good working relations with staff at SED, interact appropriately with the public and top SED administrators, and express oneself clearly orally and in writing.
*Duties include: Answering the busy main helpline, logging and tracking calls and call assignments, and accessing, responding to, and tracking emails, arranging and managing the Assistant Commissioner’s calendar by scheduling meetings, making any necessary travel arrangements, securing building access approval for visitors, ensuring that any necessary technological assistance is available and functioning properly, and that handouts, PowerPoints, or other supplemental materials are organized and available when necessary. Additionally, the temporary staff person will maintain an adequate inventory of office supplies, and assist in the preparation of reports with charts, graphs and/or tables.
