Explain the function(s) to be performed by the requested staff member: Provide administrative and legal assistance to the Legal Department. Under supervision, assists with the maintenance of the Agency's public lien tracking system and License Agreement Tracking System. Prepares status reports on behalf of Legal Department for use by attorneys and executives. Follow up by phone or email with stakeholders on status of various outstanding requests. Maintain tracking report for conflict of interest requests and responses. Maintain tracking report for litigation matters. Process payments for license agreements. Assist in gathering and redacting documents for the finalization of license agreements, discovery in litigation or to respond to Freedom of Information Law requests. Assist with scheduling meetings and mediations. Assist Confidential Assistant to General Counsel, as necessary, including filing, faxing, copying, assisting with archiving documents, scanning, preparing and mailing correspondence, answering the telephone.
Specific Skills Required for Position: Outstanding organizational skills and attention to detail. Excellent written and oral communication skills. Ability to work independently. Proficiency with Microsoft Office Suite, including Excel, Word, Powerpoint and TEAMS; May need to physically lift boxes of files.
Qualifications and Skills: Four year high school diploma(or a GED)and six years full-time experience in progressively more responsible and complex legal administrative/clerical/secretarial experience.
Preferred: Previous experience in a law office, familiarity with various types of legal documents, and proficiency with OneDrive and Sharepoint. A desire and ability to make processes consistent and efficient. Familiarity with Westlaw, PACER, e-courts and other legal information databases.
