Penda Aiken, Inc. is seeking Patient Encounter Associates for a new Mobile COVID Vaccination Initiative. Under the Mobile COVID Vaccination Initiative, mobile vaccination teams will travel to different vaccination service locations, primarily in Manhattan, Brooklyn and Bronx, to administer COVID vaccines to clients and staff of facilities such as congregate residences, transitional housing programs, and domestic violence shelters. 

The Patient Encounter Associate is an integral part of the vaccination team. This position welcomes all clients with optimal customer service and ensures patient registration procedures are followed, including entering accurate demographic information and gathering client consent forms. Patient Service Representative will assist with scheduling vaccine appointments, making reminder calls and facilitating the smooth running of the the vaccination site. 

We will provide all employees with Personal Protective Equipment (PPE) needed to adhere to infection control guidelines, and offers vaccinations to or it’s front line workers on a voluntary basis.



  • Assists with the set-up, monitoring, sanitization, and daily close up at each vaccination site.

  • Accurately gathers, enters and/or verify patient registration information.

  • Assists with completion of and collecting vaccination consent forms.

  • Greets clients and guides them through the different stations in the vaccination center.

  • Assists with generating reports on client volume, attendance and vaccinations.

  • Participate in ongoing training as required.

  • Monitor for and take appropriate action to be taken in the event of an emergency; including epinephrine administration during an anaphylactic reaction.

  • Maintains compliance with all related safety protocols, including but not limited to infection control, sharps safety, disposal of bio-waste, confidentiality and use of PPE.

  • Understands the medical emergency procedures and is familiar with the location of the emergency kit/supplies in all clinic settings.

  • Assists with supply inventory as needed.

  • Participates in quality improvement/assurance activities.

  • Performs other duties as assigned by the Team Coordinator.

Required Qualifications :

  • Bachelors or Associates Degree, Medical Assistant certification, or other comparable credential. High School Diploma with a proven track record of data entry and excellent customer service will be considered.

  • Excellent communication and customer services skills.

  • Proficient in data entry. 

  • Experience with electronic medical records helpful but not required.

  • Ability to work effectively with vulnerable and/or traumatized individuals, treating everyone with courtesy, dignity and respect.

Other Considerations:

  • Remote interview process

  • May need to access remote training.

  • Charter transport to, from and in-between vaccination sites will be provided 

  • Staff will be offered and encouraged to get vaccinated, but not required.

  • Should be able to work with minimal supervision.

  • Light physical effort (lift/carry up to 15 pounds)
